Here are guidelines to follow for
data formats for filing forms 1098,
1099, 5498, or W-2G Information
Returns. There are two types of
data: filer and recipient. Most
likely, the filer is your company.
The recipients are the persons or
organizations to whom payments were
made. You will need to create files
that convey what the filer and
recipient information is. This
output file could be .csv delimited
text, Excel, or almost any format.
Most customers deliver their data in
Excel spreadsheet format. Depending
on the file format submitted, you
must define the filer and recipient
data in separate worksheets, tables
or files. Data may be in either
mixed case or upper case.
Fierce online 1099 services strongly
suggests you acquire a copy of IRS
Publication 1220 to use as a
reference when creating your data
file before you can start to file
your 1099 forms. You may acquire
this publication by calling
1-800-TAX-FORM or on the Internet at
www.irs.gov.
1099 Form Filing Data Guidelines
Use our Data Guidelines and
IRS Publication 1220 as a
guide to formatting your data in
the Excel spreadsheet. Keep in
mind that the templates include
all possible money fields for
that form type - you only fill
in the money columns for which
you are reporting data, leave
the rest blank.
Format
Determine what format your 1099
data is currently in, and if it can
be exported to Excel spreadsheet
format.
If your data cannot be exported
to Excel format, can it be exported
to tab, comma delimited, or .csv
format? If so, then it can be
imported into Excel with little
trouble. If not, can it be exported
to standard text file? If so,
contact us for possible data
conversion to Excel format.
Upload
Use our Secure 256-bit encryption
interface to upload your data to us.
Fierce 1099 Services utilizes a
secure web based upload facility to
deliver your data to us for
processing. Instructions for
uploading data will be emailed to
you after you have accepted Fierce
as your service provider.
Confirmation, processing, review and
submission
When we receive your data, you will
receive an email within 24 hours
acknowledging that we received your
data. Fierce will be in
communication with you about any
issues encountered during data
conversion from Excel format into
IRS format. If you do not receive
such notification, you should assume
we did not receive your data, and
please contact us.
Once the data is converted, you will
be impressed by our 1099 reporting
systems report of your data for
approval. We typically require an
agreement from you before we proceed
with printing and mailing. Once you
have approved the converted data,
your recipient copies will be
printed and mailed prior to January
31, provided the data was delivered
to Fierce with sufficient lead time.
After recipient copies are mailed,
you may forward corrections any
time.
As a Fierce Payroll customer you
may enroll in the Combined
Federal/State Filing program (CFSFP)
when you file your 1099 forms with
us. Through the CFSFP, the IRS/MCC
will forward original and corrected
information returns, filed
electronically or magnetically, to
participating states for approved
filers. All of our 1099 online
reporting systems are
state-of-the-art and 100% secure.
The following forms are included in
CFSFP: 1099-Misc, 5498, Int, Div, G,
OID, PATR, R.
The following states are currently
participants: AL, AZ, AR, CA, CO,
CT, DE, D.C., GA, HI, ID, IN, IA,
KS, LA, ME, MD, MA, MN, MS, MO, MT,
NE, NJ, NM, NC, ND, OH, SC, UT, VA,
WI
In order to participate you must
fill out form 6847 and send to us.
All filing is done electronically
through the
IRS FIRE system.
